DENTIMATCH CANCELLATION POLICY

I. Introduction
This Cancellation Policy outlines the expectations and consequences for canceling confirmed bookings on the DentiMatch platform. By using DentiMatch, Users agree to comply with this policy to ensure fairness and professionalism.
2. Client Cancellations (Dental Offices)
2.1 General Cancellation Guidelines
Clients are expected to honor all confirmed shift bookings. If a cancellation is unavoidable, Clients must notify both DentiMatch and the scheduled Candidate as soon as possible to minimize disruptions.
2.2 Cancellation Notice Requirements
- 24+ Hours Notice (For shifts booked at least 24 hours in advance):
- Cancellations made at least 24 hours before the shift will not incur penalties.
- Less Than 24 Hours Notice:
- Cancellations within 24 hours of the shift require the Client to compensate the Candidate 40% of the agreed shift pay.
- A $50 platform fee will also apply to cover administrative costs, candidate coordination, and last-minute rescheduling efforts.
- Repeated last-minute cancellations may result in restricted platform access.
- Same-Day Bookings:
- For shifts booked on the same day, Clients must provide at least 2 hours' notice for any cancellations or modifications.
- There may be platform fees for urgent cancellations that disrupt candidate scheduling.
- No-shows will be treated as policy violations.
2.3 Repeated Cancellations
- Frequent cancellations within a 30-day period may result in temporary suspension or additional fees.
- DentiMatch reserves the right to restrict or revoke platform access for repeated violations.
2.4 Failure to Find a Replacement
- If a shift is canceled and a replacement cannot be secured, the Client will not be charged.
- Clients may be eligible for one free booking or a one-month subscription waiver, if applicable.
2.5 Limitation of Liability
- DentiMatch acts solely as a platform connecting Clients with Candidates and does not guarantee shift fulfillment.
- DentiMatch is not responsible for any losses resulting from cancellations by Clients or Candidates.
- DentiMatch does not compensate Clients for cancellations or unfulfilled shifts.
- Clients are responsible for ensuring adequate staffing and contingency plans.
3. Candidate Cancellations (Dental Professionals)
3.1 Candidate Commitment to Confirmed Shifts
Candidates are expected to honor all confirmed shifts. A confirmed shift is a professional commitment to the office, staff, and patients. Dental offices rely on Candidates to fulfill their scheduled shifts, and failing to do so can disrupt operations and patient care.
3.2 Emergency Cancellations
Emergencies must be communicated immediately:
- Candidates must notify DentiMatch and the Client as soon as possible.
- Proof of the emergency may be required before accepting future bookings.
- Multiple emergency cancellations will be reviewed and may result in restricted access to the platform.
- Frequent emergency cancellations may result in loss of access to shift bookings.
3.3 Last-Minute Cancellations
- Candidates canceling within 24 hours of a shift will be immediately blocked from the platform.
- A $99 reinstatement review fee is required to request reinstatement.
- Same-Day Bookings:
- Once confirmed, Candidates cannot cancel a same-day booking.
- No-shows for same-day shifts will result in permanent removal.
3.4 Zero Tolerance for No-Shows
Failing to appear for a confirmed shift disrupts operations, affects patient care, and damages trust.
- No-shows will result in immediate and permanent removal from the platform.
- No reinstatement will be offered.
- Candidates acknowledge that DentiMatch is not responsible for lost income or financial impact from missed shifts.
- Candidates must ensure they can fulfill confirmed bookings and communicate emergencies immediately.
5. Modification to this Policy
DentiMatch reserves the right to modify this Cancellation Policy at any time. Users will be notified of significant changes, and continued use of the platform constitutes acceptance of the revised policy.
